OCMHA is an Association managed by volunteers committed to providing and enjoyable hockey experience to all participants and especially the players. The operation of the Association requires a significant volunteer effort to carry out the necessary roles and activities that make every season a success. The Association operates under the direction of the Executive Committee which is elected at the Annual General Meeting that takes place at the of the season (First Quarter of the year) and governed by the Constitution. The following identifies the current Executive and describes their responsibilities.

Executive Committee Roles & Responsibilities

The Executive roles as identified in the OCMHA Constitution have been enhanced.

The business areas are:

Operations which includes team scheduling, skills development, tournaments coordination, coaches management, referees management, and related activities with the operation of the Association's functions and mandate.

Administration which includes team management, team health, communications, technology, parents coordination, and related activities with the administration of the Association's functions and mandate.

Registration which includes team and players registration, coaches registration and certification, issuance of transfer certificates and travel permits, association scholarships and waivers, maintenance of Association records and data files, and related activities with the registration .

Finance which includes financial planning, annual audit and report, management of concessions (canteen), advertising, skate sharpening operations, facilities and assets management, and fund raising.

Chair all General and Executive Committee meetings

Participate Ex-officio member of all sub-committees

Perform the management of the OCMHA organization

Implement all the decisions of the Executive Committee

Coordinate all Executive Committee activities

Liaise with the ODMHA and OCMHA District 6 with respect to hockey operations within CHA jurisdiction

Executive Vice-President – Operations

Supervise the Reporting Positions and recruits for the positions

Conduct meetings in the absence of the President (CEO)

Provide assistance to the President(CEO)

Vice President - Administration (Secretary)

Supervise the Reporting Positions and recruits for the positions.

Maintain a record of all meetings, motions and resolutions.

Manage the business details of all General and Executive Committee meetings.

Notify all Executive Committee Members of meetings.

Notify all members of the Association of any General Meeting.

Maintain Executive and Director contact list for Executive Committee.

Maintain other contact lists in cooperation with the Vice President - Registration.

Vice President - Finance (Treasurer)

Supervise the Reporting Positions and recruits for the positions.

Receive and hold all monies of the Association in a bank account maintained for that purpose.

Maintain an accurate record and reconciliation of all expenditures and receipts.

Make only such payments that are approved by the Executive Committee or the Delegated Authority granted by the Executive Committee.

Present a written statement of accounts of the Association's financial position at the Annual General Meeting and the Executive Committee meetings.

Whenever possible, execute, all cheques drawn on the Association's bank account.

Prepare the budget for the Association.

Vice President – Registration

Supervise the Reporting Positions and recruits for the positions.

Organize the registration activities at the beginning of the season including time, place, and communications.

Organize the proper registration of all playing members including the collection of registration fees and the completion of contracts.

Organize the registration of players, coaches and other officials in accordance with the registration requirements of the Association.

Communicate with prospective players with respect to information on registration including notice of competitive hockey tryouts.

Verification of dates of birth for players.

Develop and maintain team lists and waiting lists (in the event that team rosters are full)

Make recommendations to the Executive Committee concerning waivers, reductions, or refunds of registration fees.

Ensure proper completion of Transfer Forms for players residing outside OCMHA boundaries.

Preparation of CHA registration information.

Past President

Actively recruits for the Vice President roles and other positions

Provide advice and counsel to the Present and the Executive Committee on all matters concerning the Association

Director of Scheduling

Prepare and publish an ice utilization plan and team schedules for the season

Allocate equitably the Association's ice time to the teams

Ensure that the allocated ice time is fully utilized

Provide detailed accounts of ice time revenues and expenses

Director of Skills Development

Prepare a training plan and schedule for skill improvement of team coaches

Organize and implement coach certification program

Identify and recruit ice hockey instructors

Organize September skill clinics

Director of Tournaments

Prepare a plan and schedule for tournaments in and out of town

Organize the Brewer Rink Rats Tournament

Coordinate the participation in the City of Ottawa Tournament

Provide Travel Permits as requested

Director of Team Coaches

Coordinate communications between Team Coaches and Executive Committee and maintain updated contact lists

Ensure a consistent level of coaching quality throughout the Association

Investigate incidents or complaints and report to the Executive Committee

Maintain balanced teams in cooperation with the Division Coordinators

Organize coach meetings and skill workshops throughout the season

Director of Referees

Coordinate communications between Team Coaches and Referees

Ensure a consistent level of refereeing quality throughout the Association in cooperation with District 6 Referee-in-Chief

Coordinate Game Time Keepers and Game Sheet Administration

Investigate incidents and complaints and report to the Executive Committee

Director of Interlock Relations

Coordinate activities and liaises with neighbouring associations in the Division

Organize the schedule of interlocking games

Participate in the District Interlock Meetings

Convene one Division of Interlock league

Director of Team Managers

Coordinate the activities of Team Managers

Coordinate through the Team Managers the registration of players on each team.

Maintain communications between Team Trainers and the Executive Committee.

Ensure the equitable allocation of team sweaters and team equipment.

Coordinate the availability of first aid kits

Ensure that team Trainers become certified and develop the required skills

Director of Communications

Manage the safe and proper operation of the canteen concession

Establish fair prices for items and products on sale

Coordinate the opening and closing of the canteen facilities including clean-up, equipment preparation and maintenance, cash, and stocking of items

Maintain accurate records of inventories, revenues and expenses

Maintain and coordinate the work schedules and training of volunteer Parents and hourly Employees

Obtain all permits and approvals for the concession from regulatory agencies

Director of Skate Sharpening

Manage the safe and proper operation of the skate sharpening operation

Maintain accurate records of inventories, revenues and expenses

Obtain all permits and approvals for the operation from regulatory agencies

Director of Facilities & Assets

Manage the safekeeping of all Association equipment

Manage the safekeeping and maintenance of the Trophy Case

Maintain accurate records of inventories, revenues and expenses

Manage the distribution of equipment to teams (particularly to goaltenders)

Prepare plan and budget for repairs and replacement of equipment

Manage the operation of the equipment room

Manage the team change room facilities including the provision of white boards

Director of Fund Raising

Prepare Fund Raising and Promotion plan for the Association

Maintain liaison and communications with Sponsors

Manage fund-raising campaigns and promotions to meet budgetary targets

Identify and pursue sponsorship and fund raising opportunities

Director of Certification & Scholarships

Assess requests from players to waiver or reduce fees.

Assess requests for reinbursement for attendance to certification workshops for coaches, trainers and referees.

Assess requests for reinbursements for player equipment such as goalie pads, etc.

Make recommendations to the Registrar.

Director of Risk Management

Organize and executes the risk management program for the Association.

Make recommendations with respect to risk control and administration.

Director of Parent Relations

Organize communications with parents and players of the association.

Investigate parental complaints and report to the Executive Commitee with recommendations.
